Contingent opportunity: Axyde Analytics is building a proposed team for the anticipated U.S. Army Corps of Engineers, Engineer Research and Development Center (ERDC) Fellowship Program Administration and Research Support requirement. This is advance recruiting, not an awarded or funded position. Hiring, start date, hours and final duties depend on contract award, funding and task-order requirements.

Work arrangement: Remote administrative work is proposed, with travel and onsite support at ERDC facilities as required. Midlothian, Virginia is Axyde's administrative base; final duty location and remote eligibility will be determined by the requirement. This is not a guarantee of fully remote work.

Fellowship Travel and Records Coordinator

Provide responsive participant support and maintain organized, accurate administrative records for the proposed ERDC fellowship program.

Responsibilities

• Coordinate approved task-order travel, itineraries, authorizations, receipts and reimbursement packages.
• Maintain appointment files, onboarding checklists, training records, access documentation and offboarding records.
• Track signatures and routing of fellowship/IP agreements and escalate substantive questions to designated reviewers.
• Support participant inquiries, meeting logistics, deadline tracking and status reports across laboratories.
• Check records for completeness and accuracy; protect participant information and follow retention and access procedures.

What we seek

• Experience coordinating travel and administrative records in a research, university, government contractor or comparable program.
• Strong document control, scheduling, spreadsheet and participant-service skills.
• Experience handling reimbursements, approval workflows and confidential records.
• Ability to manage multiple participants and deadlines and identify missing documentation before it causes delays.

Preferred: Fellowship/student program administration, federal travel support and laboratory onboarding. Final government qualifications have not been issued.
